What is the difference between a hired day-of coordinator vs. in-house coordinator?

One of the most frequent questions we receive is “What is the difference between yourself and the in-house coordinator provided to us by our venue?” The follow-up question typically is: “Why would I spend the money on you if the venue supplies one to me?” These questions are completely valid and I understand why they’re so common. I’m always happy to explain the difference to my brides but today I’m happy to shed some light on the topic for my blog readers, too. There are a number of differences between our roles for the day – below are the roles that a hired day-of coordinator like me will take on in order to make your wedding day run smoothly.

The differences between a day-of coordinator and in-house coordinator

1. We are accessible the days, weeks, and months leading up to your weddings. Once we are contracted, we are accessible to you offering consulting services up until the day of your wedding. We assist in putting your schedule together and in making sure all items are checked off on your to do list. We assist in helping to make some decisions regarding decor, in proofing your save the date and/or invitation, in selecting vendors or making suggestions regarding which vendors to use for particular services.

2. We are by your side for the entire day, starting our day the same time you do. In fact, our day starts as soon as your hair and makeup artists arrive on site. This allows us to keep you and your bridal party on schedule as well as resolve any issues that may arise.

3. We establish a relationship with your vendors. We contact your vendors and discuss your plans and vision for the day, ensuring that we are all on the same page. We help them gather any outstanding information, relaying any messages that may be causing a stall in the planning process. By meeting them prior to your big day, it makes for a friendlier environment on the day of the wedding when we are reviewing and confirming information.

4. We ensure that your vision comes to life. Since we are fully aware of all of your contracted plans – what flowers are to be used in your centerpieces, what stations are to be present during cocktail hour – we make sure your vision and expectations are met. We ensure your vendors provide exactly what is contracted between you and them. If your centerpieces have the wrong flower in it, we will know. If you’re missing a food station or specialty cocktail, we will know and can bring it to the attention of your venue/caterer. If a table is missing a setting, we will know prior to your reception and can have it corrected prior to the arrival of your guests.

5. We have your best interest in mind, there is no ulterior goal. At the end of the day, it is our goal to make you (the bride and groom) happy, ensuring that this is your Best Day Ever! We are not concerned with the second bride and groom celebrating across the hall, or checking on the staff making certain they are where they need to be at certain times. We are not sitting in an office, waiting to be called upon. We are conspicuous, yet in sight, should you need us or should an issue arise. For instance,  if your bustle rips and needs to be fixed, or someone just handed you a card while you are walking around saying hello to your friends and family.

A hired coordinator has a very separate role from an in-house coordinator, whose primary function is to ensure that the venue provides what is contracted regarding food, beverages and service. Their primary focus is making sure the venue is favorable to you and your guests. However, your hired coordinator will be the one to ensure that your guests leave the evening saying they just attended the best wedding ever!

Oheka Castle Wedding | Michele and Robert

Today is the day I get to share Michele and Robert’s Oheka Castle Wedding with you! I’m so excited to share a peek into their day. This wedding is going to have you swooning from start to finish! But first, a few details about the couple and their day, because everyone loves a good love story, right?

The Couple

Michele and Robert met when Michele joined a share house in Ocean Beach, Fire Island, which Rob managed. Their relationship developed from that point and they dated for three years. When it was time for Rob to propose, he had the sweetest idea. He took Michele back to the same beach house where they met for the very first time and popped the question there!

This sweet proposal idea is just one of the ways I have seen how thoughtful Rob is with Michele. He always wants to make her feel special. His biggest concern throughout the wedding planning process was making sure that Michele was happy. And happy she was! As soon as the gates opened for them during their first visit to Oheka Castle, she knew it was fate. Oheka Castle would be the place where they would tie the knot. Rob made Michele’s wish of a fairy tale wedding come true. And the fairy tale was complete with a vintage romantic theme and a real-life castle!

The Details

When I first started working with Michele on her wedding day, she had been feeling a little overwhelmed with the small details that were still outstanding. We started working together a couple of months prior to her wedding and it was a pleasure managing this beautiful wedding day. Not only did I get to work with a sweet couple but I also got to work at one of the most stunning venues in the Tri-State Area. The Oheka Castle mansion is located in a beautiful area of Long Island and looks like a gorgeous French chateau. It is a truly unique palace that is the epitome of elegance and refinement. It is the perfect place to host a wedding, too, as it was originally built with the intention of hosting lavish parties!

Wedding  Ceremony

On the day of the wedding, a harpist welcomed guests as they entered the castle for the ceremony and set the tone for the romantic wedding that Michele had dreamt of. Needless to say, the guests were quite impressed with the venue. Throughout the day, they enjoyed discovering the castle and its grounds. At the reception, they were greeted with unique seating cards on vintage keys before entering the ballroom. Once inside the ballroom, you couldn’t help but notice the stunning centerpieces complete with hanging pearls. The centerpieces actually ended up being Michele’s favorite decor piece because they tied in all the small details of the day to complete her vision. It was a pleasure being a part of Michele and Rob’s day and I’m excited for you all to see the images captured by Ricky Restiano.

Michele entrusted us with designing all the paper goods at the reception and we thoroughly enjoyed designing the seating cards, menu, and favor cards. We carried the vintage theme through all of the designs and it came together perfectly.

Northern NJ Event Planner | Safari-Themed Baby Shower at Pairings Palate + Plate

When Donna reached out to me to help plan the baby shower she was hosting, I was ecstatic! Donna is my sister’s mother-in-law and has been part of our family for years! She has a huge heart and loves all the pretty details just as much as I do so I knew we’d have fun working together on Kara’s baby shower.  Coming from a big Italian family, I have planned my fair share of baby showers through the years. Something I always challenge myself to do is make each one unique! Something I love to do when I plan a baby shower is find out if the baby’s nursery has been decorated with a specific theme in mind. This way, I can use that idea to personalize the work I do for my expecting mamas.

Kara decorated her son’s nursery with a safari theme so we knew we wanted to include plenty of elephants, giraffes, and tigers as our inspiration for her shower. Traditionally, safari-themed showers are rather colorful, though, and we wanted to create a more elegant take on the safari theme. We were inspired as soon as we saw Restoration Hardware’s safari decor line! Shades of brown, green dominated the color scheme but we used some pretty florals to soften it up for the lady guests. For center pieces, we opted for low floral arrangements and The Potted Geranium outdid themselves, as always!

University Club NYC Wedding | Erica and Marcus

As a NYC Wedding and Event Planner, I get to be a part of a variety of joyous occasions. Not only that, but I get to work with the most amazing of clients, too. A little over a year ago, I had the opportunity to work with Erica and Marcus. They are a wonderful couple who found me thanks to a mutual friend. When Erica told me about her vision for the day, I knew that her University Club NYC Wedding was going to be as gorgeous as they come.  And when it finally arrived, it unfolded even more beautifully than we envisioned.

The day started out with a relaxed morning of getting ready at Peninsula Hotel. Erica is already a beautiful woman, but once she was all dolled up in her gorgeous wedding gown, she looked even more stunning. We arranged for her first look with Marcus to happen at the New York Public Library and it was the perfect setting. Marcus couldn’t take his eyes off of his lovely bride, and understandably so.

Once it was time for the ceremony, everyone headed back to the University Club. The rest of the evening was just magical. From an amazing chuppah that was the perfect mix of modern yet timeless to the breathtaking centerpieces overflowing with orchids, cherry blossoms and garden roses, the details at this wedding came together perfectly. Party Planners NJ | Franklin Park NJ Graduation Party

Last summer I had the pleasure of working with the proud parents of Blake, a high school graduate, and planning a perfect graduation party in Franklin Park, NJ. Blake’s mom, Porsche, and I chatted about her vision for the party and she enlisted me to bring her and her family’s vision to life last June. Blake’s parents worked hard to get their home just perfect for their son’s graduation party, as they really wanted to make the day just perfect for him! They are such a loving family, and their love and respect for each other shows through in their simple interactions, even when under the stress of preparing for an at-home party.

It was such a pleasure working with them all and I have only fond memories of the weeks leading up to the party and of the party, too! Here is a visual recap of the day for you to enjoy. Thank you to David Divad for sharing these images with us!

Party Planners NJ | Blake’s Graduation Party

On the day of the party we wanted to make it easy for guests to find their way to Blake’s home so we had this custom sign made for the front lawn. I love how this sign set the scene for the entire party because it brought together the colors, high school mascot, and graduation year all in one spot. The sign will also serve as a keepsake for Blake to remember this time in his life.

The food

The party was catered by The Fruited Plain and it was delicious! Normally, I’m too busy to eat on the day of an event like this one but I’ll admit, I couldn’t help myself and had a few bites. =)

Something I made sure of is that everyone was properly hydrated and fed at all times! To make food and drinks easily accessible we set up a couple of stations for drinks and appetizers so that guests could enjoy upon arrival and throughout the day.

The tables

Since it was a backyard party for a young man, we wanted to keep the floral centerpieces low key. I love the floral centerpieces that I created thanks to these pretty florals from The Potted Geranium. We included lanterns throughout the space to complement the florals.

If there’s one thing that makes all the difference at an affair, it’s the chairs! I’m so glad we opted for these Mahogany Chiavari chairs from B&B Tents  because they really made the eating area look polished while still maintaining the relaxed and informal vibe.

Graduation Party Decor

To bring in elements of Blake’s student life, we hung these graduation and soccer photos throughout the space. I loved seeing all of Blake’s family members and friends stopping by to check out the hanging photo gallery. I even caught Blake smiling when he saw them.

I thought it would be sweet to include Porsche’s perspective for those of you who are considering a backyard party for an upcoming graduation or other event.

Describe your vision for your son’s graduation party.

“My vision was an elegant, yet comfortable outdoor party under a tent that included great food and unique spaces where guests could flow throughout and enjoy a different activity as they moved from place to place under or near the tent (ie hanging photo gallery, photo booth, food, pool/deck, basketball, tennis, lounge seating, etc). This was a time of celebration and a time for my son to spend time with his fellow graduates, friends and family.”

What were some of your favorite details that helped bring your vision to life?

“The tent, lounge seating and hanging photo gallery.”

What was your favorite part of the day?

“Sitting down with friends and family on the lounge seating, as well as taking silly photos in the photo booth with everyone.”

What advice do you have for other parents planning a high school graduation party?

“Take photos, it is wonderful time to capture and look back on in photos. Get your graduate involved in the planning process by asking what they would like to see or experience at the party.  Blend their requests into your own (parents) vision of the party and everyone comes out happy.”

Berkeley Oceanfront Hotel Wedding | Mallory and Jarred

Well, it has certainly been a while since my last post, hasn’t it? I’ll be the first to admit that blogging our recent work hasn’t been at the top of our list of priorities these last several months but I’m happy to share that all that is going to change this year! I had the honor of designing, planning, and coordinating many beautiful weddings last year and I’m excited to show you exactly how beautiful they all were by sharing them with you here on the blog. Get ready for plenty of eye candy because I’ve got lots of pretty coming your way!

The Couple

First up is Mallory and Jarred’s Berkeley Oceanfront Hotel Wedding. Mallory and Jarred’s love story began when they were students at Monmouth University. Mallory was a senior and Jarred was in his first year of graduate school. Their paths crossed while Mallory was interning in the athletics department and Jarred was working there. They started dating shortly after, spending much of their time together on the university campus. When it was time for Jarred to pop the question, he did it during a trip to Florida after an evening stroll near the beach. So romantic!

I had the pleasure of meeting Mallory thanks to my sister who was her high school Italian teacher. About 15 years ago, I chaperoned a student trip to Italy and spent a couple of weeks getting to know Mallory and her classmates while visiting the beautiful sites of Italy. Mallory and I kept in touch throughout the years and eventually formed a deeper connection over our love of weddings and event planning. Needless to say, I was so honored when she asked me to help manage her wedding day. As you will see in the images below, Mallory has impeccable taste so I knew I would love being a part of her wedding day.

Getting Ready

The day started out at Mallory’s parents’ house where she got ready with her bridesmaids and mother. I arrived there bright and early and had all the wedding day details ready when her photographer arrived. Let’s get started with these images by Idalia Photography.

Berkeley Oceanfront Hotel Wedding Ceremony and Reception

Once portraits were finished, it was time for the ceremony at the Berkeley Oceanfront Hotel. This venue was perfect for the classic and elegant wedding that Mallory and Jarred had planned.

I loved that Mallory and Jarred’s timeline allowed for plenty of time for them to enjoy each other’s company. They even had time for an additional portrait session at the venue. And check out the gorgeous florals by Peter James Floral Couture!

Before we knew it, though, it was time for cocktail hour! I love the coasters that Mallory and Jarred ordered for the bar area.

During dinner, Mallory and Jarred invited their guests to indulge in their bread bar. This was such a unique idea and their guests absolutely loved it!

One of my favorite parts of a wedding day is when my couple gets to relax and enjoy their reception. After so many months of planning, it’s wonderful for them to see everything come together and spend time with all their loved ones.

When a Yankees fan and a Mets fan fall in love you end up with one of the most unique ideas for a guest book!

And here is one of my favorite parts of the day – the live painting by Katherine Gressel . I think it’s safe to say that everyone enjoyed watching Katherine work throughout the night to capture a moment from the day in a beautiful canvas painting.

At the end of the night, I always advise my couples to do something extra special for their guests. Mallory and Jarred opted for a donuts and pretzels station and it was a big hit! Nothing like something sweet to hold you over on the ride home!

Rockleigh Country Club Wedding Invitation

The inspiration for this Rockleigh Country Club wedding invitation came from the chandeliers and gold accents in the venue’s ballroom. We showcased the elegance the bride and groom were aspiring to portray throughout the day, starting with the save the date and carrying it throughout the invitation, program and all other wedding day stationery.

Details of this invitation include gold thermography printing, gold painted edges and rounded corners. Rounded corners always add a touch of unexpected elegance!

We enjoyed working with the bride and groom on their wedding stationery, and it sure was an unforgettable and elegant affair!

I often hear brides say that they don’t want to spend a lot of money on their invitations. Or that they don’t really care about what their invites look like because it’s ‘just an invitation’. Well, it really is so much more than ‘just an invitation’! The invitation truly does set the mood for your wedding! It is the first part of the journey to your big day that your guests will see – and your invitation will either get them excited to see what else is to come along the way, or it will just make them feel like your wedding is another obligation on their list of things to do, people to see, places to go!

No one is saying you need to spend a fortune on your invites, but you at least should create something that will make people look at it for more than a second!

Some tips for a successful invite:
– make it reflect your personality and the type of wedding you plan on having
– triple check for spelling errors
– make sure the font and typesize you select is easy to read
– don’t be afraid of color, even if it’s just a hint of color
– flat printing can look just as pretty as thermography and letterpress, and is only half the cost
– don’t spend a fortune on hand calligraphy for your envelopes – computer calligraphy is just as pretty and much less expensive

Invite

So put some time into creating that invite, and see how exciting it will be when you start getting the text messages and/or phone calls that you’re invitation is the nicest invitation they’ve even seen!

Welcome to our blog!  NVS Events is excited to add a blog to its website and hopes to motivate and encourage you to plan the event you’ve always imagined.  Future posts on this blog will include tips for hosting memorable events, DIY craft tutorials, and how to plan the wedding of your dreams on your budget.  If there is anything you would like to see on our blog, send us an email or leave us a comment and we’ll be sure to cover it!

For the first blog post, we would like to cover the importance of photography at your wedding.  Similar to other vendors, but especially with photography, you pay for the level of service and product you will receive.  It’s really important to choose a photographer whose photos you love.  Don’t be fooled into believing that you can show a photographer pictures that you like from other photographers, and he/she can shoot similar photos.  You need to already love their existing photos!!    Remember, 6 weeks, 6 months, 6 years, 60 years after your wedding date – those photos are all you will have, other than your memory, to remind you of your beautiful day!

I would like to dedicate this first blog to my dear friend Alex of Idalia Photography, who encouraged me to start this blog!  She is one of the most brilliant photographers I work with.
